Strict Confidentiality & NDA Operational Protocol

Purpose: At Meridian & Monarch, absolute discretion is the cornerstone of our bespoke event curation. We routinely partner with ultra-high-net-worth (UHNW) families, Silicon Valley executives, and top-tier corporations. This protocol dictates our operational standards for data security, vendor management, and on-site execution to guarantee the complete protection of our clients' identities, locations, and proprietary information.

1. Client Onboarding & Communication Protocol

  • Pre-Discovery Mutual NDA: Before any substantive conceptual or logistical discussions occur, a Mutual Non-Disclosure Agreement (MNDA) is executed between Meridian & Monarch and the client (or their representative).

  • Secure Communications: All digital communications, including itineraries, budgets, and secure lookbooks, are shared via encrypted, password-protected links.

  • Alias Implementation: High-profile clients are assigned an internal project alias. All internal files, preliminary vendor inquiries, and scheduling blocks utilize this alias rather than the client's true name.

2. "Blind" Vendor Acquisition & Vetting

  • Identity Masking: During the initial sourcing and bidding phase, the client’s identity, company affiliation, and exact guest list are entirely withheld from prospective vendors and venues.

  • Sub-Contractor NDAs: Once a vendor or venue is selected, they must sign a strict, Meridian & Monarch-issued Sub-Contractor NDA before the client's identity or sensitive event specifics are revealed.

  • Segmented Information Sharing: Vendors are only provided the information strictly necessary to execute their specific function. Full run-of-show documents containing VIP guest details are never distributed to secondary vendors.

3. Digital Asset & Portfolio Security

  • Private Master Portfolio: Our master portfolio is never publicly accessible. As per our internal policy, previous event designs and case studies are only shared via a secure, password-protected gateway to verified, prospective clients upon request.

  • Embargo on Social Media: Meridian & Monarch maintains a strict zero-social-media policy for active events. Neither our internal team nor our contracted vendors are permitted to post live updates, geotag locations, or share behind-the-scenes content.

  • Media Rights & Approvals: All event photography and videography remain the exclusive property of the client. Meridian & Monarch will not use any assets for internal marketing or portfolio updates without explicit, written consent and rigorous sanitization of identifiable details.

4. On-Site Logistics & Execution

  • Strict Access Control: For high-stakes or highly sensitive corporate milestones, all vendors, staff, and contractors are subject to ID verification and credentialing prior to load-in.

  • Vendor Device Policy: Where requested by the client or deemed necessary by our production team, a "No Device" policy is enforced for back-of-house staff, catering teams, and local crew to prevent unauthorized photography or recording.

  • Discreet Ground Operations: Coordination of private aviation, luxury ground transport, and secure venue entry points are managed entirely by our core team to minimize external exposure.

5. Post-Event Data Management

  • Digital Sanitization: Following the final wrap-up and reconciliation of the event, all sensitive physical documents (e.g., printed VIP guest lists, seating charts) are securely shredded.

  • Secure Archiving: Digital files containing proprietary company data, financial specifics, or personal family details are securely archived and removed from active cloud environments.
